(A B2B Platform for Travel Agencies Only)
1. Nature of Platform & Contractual Relationship
1.1 TransfersAndTours.com (“Company”, “We”, “Us”) is a Business-to-Business (B2B) online booking platform exclusively for registered travel agencies (“Agent”, “You”).
1.2 The Company provides access to booking facilities for:
- Transfers
- Sightseeing Tours
- Activities
- Ground Services
1.3 The Company does not provide or book:
- Hotels
- Flights
- Visa Services
- Travel Insurance
1.4 The Agent remains solely responsible toward its end client (“Traveller”) for:
- Package structuring
- Combining services with hotels/flights
- Visa documentation
- Client advisory
- Payment collection
- Legal compliance in their jurisdiction
1.5 The Company acts only as an intermediary between the Agent and third-party Destination Management Companies (DMCs), transport providers, attraction operators and other suppliers (“Suppliers”).
2. Booking & Confirmation
2.1 All services are subject to availability at the time of confirmation.
2.2 Bookings are considered confirmed only after:
Full payment is received (unless credit terms are pre-approved in writing), and
Written confirmation/voucher is issued by the Company.
2.3 Prices are dynamic and may change without notice until confirmed.
2.4 The Company reserves the right to decline or cancel any booking without assigning reason.
3. Pricing & Payment
3.1 All rates are strictly B2B confidential and must not be disclosed publicly.
3.2 Prices may vary during:
- Peak seasons
- Trade fairs
- Festivals
- Major events
- Public holidays
- Special citywide demand periods
3.3 The Agent is responsible for verifying inclusions, exclusions, service duration, vehicle type and operating hours before finalizing with their client.
4. Itinerary Changes & Operational Flexibility
4.1 The Company and/or Supplier reserves the right to:
- Modify routes
- Change vehicle type (similar category)
- Adjust tour sequence
- Substitute attractions
- Alter pickup timing
4.2 Such changes may arise due to:
- Local regulations
- Traffic restrictions
- Weather conditions
- Operational limitations
- Government directives
- Overbooking
- Safety considerations
4.3 No compensation, refund, or liability shall arise due to such operational adjustments.
5. Force Majeure
5.1 The Company shall not be liable for failure or delay in performance caused by events beyond reasonable control including but not limited to:
- War, threat of war, invasion, armed conflict
- Civil unrest, riots, political instability
- Terrorism or threat thereof
- Government restrictions or sanctions
- Epidemics, pandemics (including COVID-like situations)
- Quarantine restrictions
- Lockdowns
- Border closures
- Natural disasters (earthquakes, floods, hurricanes, volcanic activity)
- Extreme weather
- Strikes or labor disputes
- Transport shutdown
- Energy shortages
5.2 In such cases:
- Refunds shall be strictly subject to recovery from Suppliers.
- Service rescheduling will depend on Supplier policy.
- The Company shall not be responsible for any consequential loss, visa cost, airfare loss, hotel loss, or client compensation.
5.3 Under no circumstances shall the Company be liable for indirect, incidental or consequential damages.
6. War, Political & Health Advisory Clause
6.1 Travel during periods of:
Political tension, Military activity, Health outbreaks, Regional conflicts shall be at the Agent’s and Traveller’s own risk.
6.2 The Company shall not be liable for:
- Deportation
- Denied entry
- Visa refusal
- Health screening failure
- Quarantine
- Mandatory testing costs
- Emergency evacuation
6.3 No refund shall apply if travel becomes impractical due to geopolitical developments beyond Company control.
7. Cancellation Policy
7.1 Cancellation policies vary by destination, season and Supplier.
7.2 The cancellation charges shown at the time of booking shall apply.
7.3 Unless otherwise stated:
- 30+ days prior: Booking deposit may be non-refundable
- 15–29 days prior: Up to 50%
- 7–10 days prior: Up to 75%
- Less than 9 days or No-Show: 100%
7.4 Entry tickets, event tickets, theme parks, train tickets and special events are generally 100% non-refundable once issued.
7.5 In peak or special event periods, stricter policies may apply.
7.6 Refunds, if applicable, shall be processed only after receipt from Suppliers.
8. No Show Policy
Failure of Traveller to appear, at the given or scheduled time at: Airport, Train station, Hotel pickup, Tour departure point shall be treated as No Show and 100% charges apply.
9. Transfers & Vehicle Usage
9.1 Waiting time:
- Airport: 60 minutes from landing
- Train Station: 30 minutes
- Hotel Pickup: 30 minutes
- SIC Tours: As per Strict operator timing
9.2 Additional waiting time shall be charged locally.
9.3 Vehicles are booked strictly for confirmed hours. Overtime shall be payable locally.
9.4 Night surcharges may apply from 8 PM to 8 AM
9.5 Drivers are transport providers only and not licensed guides.
10. Shared (SIC) Tours
10.1 SIC tours operate on fixed schedules and fixed routing.
10.2 Missed tours due to delay are non-refundable.
10.3 Pickup points may not always be the booked hotel.
10.4 Tour day/time cannot be changed once confirmed.
11. Baggage Policy
Standard allowance:
One medium suitcase + one cabin bag per person.
Excess luggage may require vehicle upgrade at additional cost.
12. Supplier Liability Disclaimer
12.1 Services are provided by independent Suppliers.
12.2 The Company shall not be liable for:
- Injury
- Loss
- Accident
- Theft
- Damage
- Delay
- Mechanical breakdown
- Service quality
12.3 Any dispute must be raised locally during service.
13. Documentation & Compliance
The Agent is responsible for ensuring:
- Valid passport
- Visa
- Travel insurance
- Health certificates
- Compliance with local laws
The Company shall not be liable for denied boarding or denied entry.
14. Limitation of Liability
14.1 The maximum liability of the Company shall not exceed the net service amount paid to the Company for the specific booking.
14.2 The Company shall not be liable for indirect or consequential loss including loss of business, goodwill, or reputation.
15. Confidentiality
B2B rates, contracts and system access credentials must remain confidential.
Misuse may result in account suspension without notice.
16. Governing Law & Jurisdiction
These Terms shall be governed by the laws of India.
Any dispute shall be subject exclusively to the jurisdiction of courts located in Ghaziabad, Uttar Pradesh, India
17. Acceptance of Terms
By registering, logging in, or booking through TransfersAndTours.com, the Agent acknowledges and accepts these Terms & Conditions in full.
Terms & Conditions for Japan & South Korea
- The land arrangement proposal, excluding hotel accommodations, is valid only if the booking is confirmed before the Proposal Validity Date with a 30% advance payment.
- Additionally, full payment must be received 15 days before the departure date.
- Bookings made within 14 days of departure are considered last-minute and may cause challenges regarding vehicle availability, sightseeing entrance fees, and train reservations.
- Furthermore, last-minute arrangements (within 14 Days) are not eligible for any discount, welcome offer, or any other offer which we run from time to time, thereby increasing the overall price of your land package.
- Standard baggage allowance for private transfers is one medium suitcase and one carry-on bag per passenger.
- As per the Country Tourism Policy, All transport /Tour services must end by 8.30 PM
TRANSFERS DETAILS
Meeting Points
Airport : Driver meeting place is in the arrivals hall, just after the baggage reclaim. Therefore please exit the airport via the baggage reclaim area even though you may have carry-on luggage only. The driver will be at the meeting place till 60 minutes after the flight has landed, if more delay than 60 Minutes than additional Usd 32-35 is payable on the spot to the Driver and if Guide is also booked than additional Usd 32-35 is payable to the guide as well
Train Station:Driver meeting place is at the Exit Gate. The driver will be at the meeting place till 30 minutes after the flight has landed, if more delay than 60 Minutes than additional Usd 32-35 is payable on the spot to the Driver and if Guide is also booked than additional Usd 32-35 is payable to the guide as well
Hotel Pick Ups for Transfers: The driver will be at the Hotel Lobby/Concierge Desk till 30 minutes from the scheduled time. if more delay than 30 Minutes than additional Usd 32-35 is payable on the spot to the Driver and if Guide is also booked than additional Usd 32-35 is payable to the guide as well
SIC Pick up for Tours: The driver will be at the Hotel Porche / Parking till 5 minutes from the scheduled time. It's important that you reach the Hotel lobby 15 minutes prior and check with the reception about the exact location of the coach pick up . if more delay than 5 Minutes than coach will move further and you will miss the tour, in such cases no refund or date change of the tour is possible
Baggage Details: One Cabin size Hand Bag + Only One Medium size bag per person is allowed with 60-65 Cm height, 40-50 cm width & 25-30 Cm depth (Generally 24-26 Inch Suitcase), If additional bags are carried than booked transport may not be able to accommodate , in such cases you may have to rebook bigger vehicle at additional charges and there will also be no refund for the initial booked vehicle.
Pick up points for Transfers : Ø Standard pick up place for transfers at the hotel is CONCIERGE DESK in the lobby of the hotel. Standard pick up place at airport is EXIT GATE
Drivers : Local drivers typically do not speak English, and as a matter of policy, they refrain from engaging in conversation with guests unless absolutely necessary. A tip of USD 4 per person per day is recommended and should be given directly to the driver at the conclusion of daily services.
Vehicle Timings: All vehicles are reserved for specific hours as outlined in the proposal. If traffic conditions, roadblocks, slow movement during sightseeing, or any unforeseen circumstances cause additional usage time, the driver will charge for extra time at a rate of USD 32–35 per 60 minutes, and guides will be charged at USD 32-35 per hour, regardless of whether all sightseeing locations listed in the itinerary were visited. Night charges are applicable additionally from 9 PM to 7 AM.
Guide Services: It is highly recommended to engage an English-speaking guide to mitigate potential communication issues with drivers. Should budget constraints prevent the hiring of a guide, we will not accommodate complaints related to communication between clients and drivers. Drivers solely provide transportation services and do not assist with explanations, conversations, or aiding clients in activating or purchasing entrance tickets. The cost of the guide is non-refundable for any changes made within 21 days.
Regarding English-speaking guides: Most can only provide basic explanations and lack the ability to offer full commentary or a comprehensive understanding of Japanese history, but they are helpful in coordination and managing clients. We seek your cooperation for this.
All Coach Services: For tours or shared tours with Hotel Pick up, Please be ready in the Hotel Lobby 10 minutes before the given time. A notification of 18 days is required for refunds; no refunds will be issued for cancellations made within this timeframe.
Train Tickets: A notice of 30 days is required for a full refund. Please be aware that cancellation policies may vary among different train services.
Entry Tickets: Once issued, entry tickets are 100% non-refundable.
Private Tours: A notice of 15 days is necessary for a refund; no refunds will be granted for cancellations made within this period.
Transfers: Additional surcharges will apply for all arrival and departure transfers scheduled between 10 PM and 7 AM.
A TIP of USD 4 per person per day is recommended for each driver and each guide..
SIC Tours CONDITIONS
SIC / Shared/ Joint Tours are based on fixed itinerary & timings and only valid for min 2 Pax booked together. All tours starts and end from City Centre Hotels( If Available), Service Provider office or from Main Locations (In certain tours pick up may be arranged from Hotel-Please call and check with service provider 48 Hrs prior to the tour date) and client needs to make their own arrangement at their cost to reach to tour starting/ending points. Day & Time of any tour cannot be changed or swapped.
Please note the conditions for pick up time of Transfers & Tours : For Transfers & Tours : Guests are requested to call up service provider one day in advance to reconfirm the tour/transfer, check exact start time and also to check if service provider can pick clients from self booked Hotel. Clients to reach at the place of pick up 15 minutes before the pick-up time as mentioned in itinerary and may have to wait for a period of about 30 minutes - depending upon - traffic, other picking up of guests and location of the hotel on the route.*Any guests not found at the time of vehicle arrival would be considered NO SHOW and no refund or reinstating of their tour on another day or time would be considered.
In the event of service being missed due to delay by pax, no refund would be processed and pax would have to make their own arrangements. -- Some schedule and timing may change upon the suitability and without prior notice. Bookings have to be made with full details along with arrival and departure flight timings. -- Service issues arising due to incorrect information fed at the time of booking will not be Supplier or our responsibility.
Even with more than 2 nights stay in a city, the day & time of the tour cannot be changed or swapped.
Luggage permit per 1 pax is 01 bag. There are additional charges for extra belonging which may be charged by the driver directly. If there are too many extra belonging , the client has to pay a supplement charge for additional luggage trucks and please inform the supplier in advance.
Any booking with incomplete booking details or incorrect flight details will not be serviced and denied.
